Privacy & Cookie Policy

This is the Privacy & Cookie Policy for runwithian.com (the "Site"), operated by Runwithian Limited, trading as Run With Ian ("we", "us", "our"). We take your privacy seriously and this policy explains, in plain English, what we collect, why we collect it, what we do with it, and the rights you have over it.

Who we are

Run With Ian is the trading name of Runwithian Limited, a company registered in England and Wales. We're a UK-based coaching service for runners, covering endurance training, marathon and ultra preparation, trail running, kit advice, nutrition, strength work, sleep and recovery. The Site at runwithian.com is the front door to that work. For UK GDPR purposes, Runwithian Limited is the data controller for any personal information collected through the Site. Our contact for all data and privacy matters is enquiries@runwithian.com.

The information we collect

We only collect what we actually need. Depending on how you use the Site, that may include:

  • Contact details you give us, such as name, email address, phone number and location, when you fill in a form, book a coaching call or sign up for the newsletter

  • Training and health information you choose to share, for example current mileage, recent race times, injury history, sleep patterns, nutrition habits, training goals and any health conditions you flag as relevant to your running

  • Payment information when you buy a coaching plan or product, processed by our payment provider (we never see or store full card numbers ourselves)

  • Account information if you create a login on the Site, including username and a hashed password

  • Communications between us, including emails, messages, call notes and any feedback you send

  • Technical data collected automatically when you visit, such as IP address, browser type, device type, operating system, referring URL, pages viewed, time on page and approximate location based on IP

  • Cookie and analytics data, covered in more detail below

If you ever share information about a third party (for example, a training partner or a family member as an emergency contact), please make sure they're happy for you to do so before you pass it on.

Sensitive (special category) data

Some of the information runners share, for example injuries, illnesses, medications, menstrual cycle data, mental health, or genetic test results from services like fitnessgenes.com counts as "special category" data under UK GDPR. We only process this kind of information where you've given us clear consent, and only to do the job you've asked us to do, such as building a training plan that respects an injury or tailoring nutrition advice. You can withdraw that consent at any time by emailing enquiries@runwithian.com, and we'll stop using it for coaching purposes (though we may still need to keep limited records, see retention below).
Why we collect it and the lawful basis

UK GDPR requires us to have a clear reason for using your data.
 
Ours are:

  • Contract: to deliver the coaching, training plans, calls, products or services you've bought, and to handle billing and customer support

  • Legitimate interests: to run and improve the Site, respond to enquiries, prevent fraud, keep the platform secure and understand which content actually helps runners

  • Consent: for marketing emails, optional cookies, and any special category data such as health and injury history

  • Legal obligation: to keep tax, accounting and other records the law requires us to hold

Where we rely on legitimate interests, we've weighed those interests against your rights and privacy. If you want a copy of that assessment for any specific use, ask us.

How we use your information

In practice, we use your data to:
 

  • Build and adjust your training plan(s), recovery strategies, fuelling plans or strength programmes

  • Run coaching calls, send written feedback and respond to questions between sessions

  • Process payments and send receipts, invoices and renewal reminders

  • Send you the newsletter, blog updates or product news, but only if you've opted in

  • Reply to enquiries sent through the contact form, email or social channels

  • Improve the Site, by understanding which articles, kit reviews and route guides are most useful

  • Keep the Site secure, spot suspicious activity and protect against abuse

  • Meet our legal, tax and regulatory obligations
     

We do not sell your data. Ever. We don't share it with advertisers for profiling either.

Who we share it with

We use a small number of trusted third parties (our "data processors") to actually run the business. They only handle your data on our instructions, and each is bound by their own UK GDPR-compliant terms. 

The current list is:
 

  • Wix.com Ltd, the platform that hosts runwithian.com, including any forms, bookings, and the Wix Email Marketing tool we use to send our newsletter and broadcasts

  • Wix Payments, used to process card payments made through the Site. Card details are handled directly by Wix Payments and its underlying acquirers, so we never see or store your full card number

  • PayPal (Europe) S.à r.l. et Cie, S.C.A., used as an alternative payment option. When you pay via PayPal you're subject to PayPal's own privacy policy, and we receive only the confirmation, transaction reference and basic contact details

  • Google LLC (Google Workspace), for our business email at the runwithian.com domain, Google Drive, Docs and Sheets used to share training plans, and Google Calendar used to schedule coaching calls

  • Microsoft Corporation (Excel), where client and training data is stored or analysed in spreadsheets

  • monday.com Ltd, our client and project management system, used to track coaching engagements, sessions and progress

  • Apple Inc. (iCloud), for backup of files, photos and documents linked to running the business

  • Google LLC (Google Analytics 4), for understanding how the Site is used (only where you've accepted analytics cookies)

  • Meta Platforms Ireland Ltd, where you interact with us on Facebook or Instagram, or where the Meta Pixel is loaded after you've accepted marketing cookies

  • Strava Inc., where we connect to your Strava activity feed to view training data you've chosen to share with us

  • LinkedIn Ireland Unlimited Company, where you interact with us on LinkedIn or where the LinkedIn Insight Tag is loaded after you've accepted marketing cookies

  • Hiscox Insurance Company Ltd, our professional and public liability insurer, where a claim or notification requires sharing limited information

  • Our accountant and any external professional advisers (legal, tax, compliance), where strictly needed and under a duty of confidentiality

  • Law enforcement, regulators or courts, only where we're legally required to disclose information
     

We do not use your data to train third-party AI models, and we do not sell or rent any of it.

If we ever bring in a new processor that materially changes how your data is handled, we'll update this list and the "Last updated" date at the top.
International transfers. Several of our providers are based outside the UK. In particular, Wix is headquartered in Israel (covered by a UK adequacy decision), Google, Microsoft, Apple, Meta, Strava and LinkedIn are US-headquartered, monday.com is headquartered in Israel with US operations, and PayPal's European entity is based in Luxembourg. Where data leaves the UK, we rely on the UK's adequacy regulations (where one exists, for example for the EU, Israel and the EU-US Data Privacy Framework), the UK International Data Transfer Agreement (IDTA), or the EU Standard Contractual Clauses with the UK Addendum. In practical terms, we make sure the data has the same level of protection as it does at home.
 
Cookies and analytics

The Site uses cookies and similar technologies. There are two types in play:
 

  • Strictly necessary cookies, which keep the Site working, remember your login and protect against fraud. These don't need consent

  • Analytics, performance and (where used) marketing cookies, which only run if you accept them through the cookie banner

You can change your cookie choices at any time using the "Cookie settings" link in the footer, or by clearing cookies in your browser. Blocking some cookies may break parts of the Site.
 
We use analytics tools to see things like which pages are popular, how long people stay and which devices they use, so we can keep improving the content. Where possible we use IP anonymisation and we never try to identify individual visitors from analytics alone.

Marketing and the newsletter
 
If you sign up for the newsletter or tick the marketing box on a form, we'll send you running tips, training ideas, kit reviews, recipes, event news and the occasional offer. These emails are sent through Wix Email Marketing, which means your name, email address and basic engagement data (such as opens and clicks) are stored on the Wix platform. We'll only email you with marketing if you've actively opted in. You can unsubscribe at any time using the link at the foot of every email, or by emailing enquiries@runwithian.com. We'll act on it promptly and add you to a small suppression list so you don't accidentally get re-added later.

Data retention

We keep your data only for as long as we need it:
 

  • Active coaching clients: for the duration of the coaching relationship plus up to seven years afterwards, to meet UK tax and accounting rules

  • Newsletter subscribers: until you unsubscribe, then we'll keep a minimal suppression record so we don't accidentally email you again

  • Enquiry messages: for up to 24 months from the last contact, then deleted

  • Anonymous analytics data: typically up to 26 months, depending on the tool

  • Health and special category data: only for as long as it's needed for your coaching, and deleted on request

When the retention period ends, we either delete the data securely or anonymise it so it can no longer be linked to you.
 
Your rights
 
Under UK GDPR you have the right to:
 

  • Be told what personal data we hold about you and get a copy (a "subject access request")

  • Have inaccurate data corrected

  • Have your data deleted in certain circumstances ("the right to be forgotten")

  • Restrict or object to how we use your data

  • Withdraw consent at any time, where consent is what we're relying on

  • Receive your data in a portable format and ask us to send it to another provider

  • Not be subject to fully automated decisions that significantly affect you (we don't make decisions like that)
     

To exercise any of these, email enquiries@runwithian.com. We'll respond within one calendar month, and usually much sooner. We may need to verify your identity first to make sure we're handing data to the right person. If you're unhappy with how we've handled your data, please tell us first so we can fix it. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk or 0303 123 1113.

Security
 
We use sensible technical and organisational measures to keep your data safe, including encrypted connections (HTTPS), access controls, secure password storage, multi-factor authentication on key accounts and regular reviews of who has access to what. No system is ever 100% secure, but we work hard to keep risks low and we'll tell you (and the ICO where required) if there's ever a breach that affects you.
 
Children

The Site and our coaching services are aimed at adults aged 18 and over. We don't knowingly collect personal data from children. If you're a parent or guardian and you think your child has shared information with us, get in touch and we'll delete it.
Links to other sites. The Site links to other websites we trust, such as kit brands, race organisers, mapping services and research papers. Once you click through, you're on their patch, not ours, and their privacy policy applies. We're not responsible for how they handle your data.
 
Changes to this policy
 
Running, science, the law and the tools we use all evolve, so this policy will too. When we make a meaningful change we'll update the "Last updated" date at the top, and for big changes we'll flag it on the Site or email anyone we hold a current address for.
The current version is always the one published on runwithian.com.
