Privacy Policy

This policy explains what personal information runwithian collects, why, and what you can do about it. It is written to be read, not buried. If anything is unclear, please ask. runwithian takes privacy seriously, and not only because the law requires it. Some of the information you share, particularly about your health, is sensitive, and discretion is a foundation of how the coaching works.
 

1. Who we are
 

runwithian is the controller of your personal information. runwithian is a trading name of Runwithian Limited which is registered with the Information Commissioner's Office (ICO) in England. That means we decide how and why it is used. 


2. The information we collect
 

Depending on how you interact with us, we may collect:
 

  • enquiry details when you contact us or apply, such as your name, email address and your running goal

  • membership and coaching details once you join, such as your contact details, training history, sessions, progress notes and messages through the client portal

  • health, biometric and genetic information where it is part of your programme, such as medical history, injuries, resting heart rate, heart rate variability, sleep data, VO2 max results, blood panel results and, for Gold members, DNA profiling

  • payment information needed to take your fees, handled through our payment provider

  • website information such as your device, browser and how you use the site, collected through cookies and similar tools, covered in our Cookie Policy
     

3. Why we use it, and our lawful basis
 

We only use your information for clear reasons, and each one has a lawful basis under UK GDPR:
 

  • to answer your enquiry and assess your application, on the basis of our legitimate interest in responding to you and taking steps before a possible contract

  • to deliver your coaching, manage your membership and take payment, on the basis of performing our contract with you

  • to keep you safe while training and build your plan around your body, which relies on your explicit consent for the health, biometric and genetic data involved

  • to meet our legal and accounting obligations, such as keeping financial records

  • to send you marketing only if you have asked us to, on the basis of your consent, which you can withdraw at any time
     

4. Sensitive information, including health and DNA
 

Health, biometric and genetic data is treated as special category data and handled with extra care. We collect and use it only with your explicit consent, only where it genuinely helps your coaching and safety, and only to the extent needed. You can withdraw that consent at any time by emailing ian.baynes@runwithian.com, though doing so may limit the coaching we can safely provide. DNA profiling, where it forms part of a Gold programme, is used solely to inform your training and is never used for any other purpose.
 

5. Who we share it with
 

We never sell your information, and we never share it for someone else's marketing.

We do share it, only as far as needed, with:

  • the specialist practitioners within your programme, such as breathwork, sleep and nutrition specialists, so they can support you, and only with your agreement

  • the diagnostic providers who carry out tests such as VO2 max, blood panels and DNA profiling

  • our trusted service providers who help run the business, such as our websiteand portal host (wix), our payment providers (Wix, PayPal, Apple, Visa,
    Mastercard) and our email provider (Google)

  • anyone we are legally required to share it with, for example a regulator or a court
     

6. Sending information outside the UK
 

Some of our providers may store or process information outside the UK. Where that happens, we make sure appropriate safeguards are in place so your information has the same protection it would have here.
 

7. How long we keep it
 

We keep your information only as long as we need it:
 

  • enquiries that do not become memberships are kept for [suggest up to 12 months, confirm] and then deleted

  • member records are kept for the length of your membership and for [suggest up to six years afterwards for tax and legal reasons, confirm]

  • health, biometric and genetic data is kept only as long as it is useful to your coaching, and securely deleted sooner on request where we are not legally required to hold it
     

8. How we keep it safe
 

We use reasonable technical and organisational measures to protect your information, and access to the client portal is personal to you and must not be shared. Everyone who works with runwithian is bound by strict confidentiality.
 

9. Your rights
 

Under UK data protection law you have the right to:
 

  • ask for a copy of the information we hold about you

  • ask us to correct anything that is wrong

  • ask us to delete your information, where we are not required to keep it

  • ask us to restrict or object to how we use it

  • ask for your information in a portable format

  • withdraw your consent at any time, where we relied on consent

  • complain to the regulator
     

To use any of these, email ian.baynes@runwithian.com and we will respond within the legal time limit, normally one month.
 

10. Complaints
 

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113.
 

11. Cookies
 

Our website uses cookies and similar technologies. On your first visit you are asked to accept or manage non-essential cookies through our consent banner. Full detail is in our Cookie Policy.
 

12. Changes to this policy
 

We may update this policy from time to time. The current version always lives here, with the date it last changed. If we make a significant change, we will take reasonable steps to let members know.
